Buddies Play Den Booking Policy

Booking is not required for general soft play at Buddies Play Den. Our soft play centre in Clay Cross, Derbyshire operates on a walk-in basis, so families are welcome to arrive during opening hours and pay on arrival.

However, some activities at Buddies Play Den are bookable sessions, including children’s birthday parties, workshops and special events. The following booking policy applies to these bookable activities and events.

Booked Sessions

All bookings for activities, events or children's birthday parties at Buddies Play Den are confirmed once payment has been received through our booking system.

You may be asked to provide your booking confirmation on arrival.

Arrival Times

Please arrive 10–15 minutes before the start of your booked session. This allows time for check-in and ensures your activity can begin on time.

If you arrive late, we will not be able to extend your session, as this may affect other bookings scheduled afterwards.

Cancellations and Changes

If you need to amend your booking, this can be done up to 24 hours before the start of your session.

Unfortunately, changes or cancellations cannot be made within 24 hours of the session, and bookings within this period are non-refundable.

If you need to make a change to your booking, please contact us as soon as possible and we will do our best to help where possible.

Children’s Birthday Party Bookings

Buddies Play Den is a popular venue for children’s birthday parties in Clay Cross, and we aim to make every party as smooth and enjoyable as possible.

The following terms apply to all party bookings.

Party Deposits

A £50 non-refundable deposit is required to secure a children's birthday party booking at Buddies Play Den.

Once the deposit has been received, the party date and time will be reserved.

Final Numbers and Balance Payment

Two weeks before the party date, our booking system will automatically contact you requesting:

• Final number of guests attending
• Any dietary requirements or allergies
• Payment of the remaining balance

These details must be completed two weeks before the party date so that we can prepare food, seating and staffing for your party.

If final details are not submitted by the requested date, we may not be able to guarantee food preparation or party arrangements.

Changes to Guest Numbers

Once your final balance has been paid, any changes to guest numbers or dietary requirements must be made through your booking system no later than 7 days before your party.

After this point, the system will no longer allow amendments. If you need to make any changes, you must contact us directly, and we will advise whether this is possible. Please note that changes cannot be guaranteed at this stage.

Payments for party bookings are based on the number of guests booked, and reductions cannot be made on the day if fewer guests attend than expected.

Party Arrival and Seating

Party guests should arrive no earlier than the start time of the booked party, unless otherwise agreed in advance.

The party host (the person who has booked the party) may arrive up to 10 minutes before the party start time if they wish to decorate or prepare their party table.

We kindly ask that customers do not arrive earlier than this, as party areas may still be in use or being prepared.

Behaviour Policy

We want Buddies Play Den to be a safe, welcoming and enjoyable environment for everyone, including our staff and customers.

Aggressive, abusive or unsafe behaviour will not be tolerated. This includes:

• Harassment or inappropriate comments towards staff or other customers
• Discriminatory or offensive language, including racist, sexist or other abusive remarks
• Behaviour that makes staff or other visitors feel uncomfortable or unsafe
• Children behaving in a way that may cause harm to themselves or others

Children must be supervised by a responsible adult at all times.

Our staff deserve to be treated with respect at all times.

We reserve the right to refuse entry or ask customers to leave if behaviour is considered inappropriate, disruptive or unsafe.
